Executive Assistant

The Position
The Executive Assistant is a key person in our Finance and Loan Servicing Departments. This person has accountability for all day to day aspects of administering and servicing our Fairway America Investor Funds and assisting with the administration and servicing of our mortgage loan portfolio. The successful candidate will be an organized, detail oriented professional who requires little or no supervision.

Responsibilities
- Assist the CEO and Mortgage Servicing Manager as directed
- Assist the Accounting Manager with various projects
- Perform month end fund investor distributions
- Subscribe new and additional investment funds in our mortgage servicing software
- Prepare fund investor reports and monthly investor statements
- Prepare monthly reconciliations for investor funds
- Calculate fund share value, yield and loan purchase
- Communicate with Fairway America Equity Fund investors
- Coordinate wires, checks, deposits, and authorizations with banks
- Subscribe and deposit investor rollovers to funds
- Prepare investor presentations and agendas
- Maintain loan servicing and assignment files
- Monitor insurance and property taxes for loans
- Perform daily bank reconciliation of trust accounts
- Set up and maintain servicing files and review and update information on loan servicing systems
- Scan and forward loan documents to escrow
- Receive and check signed loan documents prior to close
- Order insurance for new loans
- Supervise office receptionist
- Provide backup for receptionist
- Coordinate and schedule travel and hotel accommodations for CEO and Mortgage Servicing Manager
Qualifications
To succeed at Fairway America, the ideal candidate will be a self-starter, an effective planner, and an individual who is detail oriented, numerically inclined, and client-service oriented. Below are specific requirements for this position:
- Must have at least 5 years of experience supporting a senior level position in the commercial real estate/mortgage, investment, banking, insurance or title/escrow fields
- Must be detail oriented, proactive, and organized
- Must be able to effectively prioritize competing tasks and meet recurring deadlines
- Must have superior quantitative and math skills
- Must have excellent verbal and written communication skills
- Work experience in investment fund servicing and loan servicing a huge plus
- Some college course work completed, degree preferred
- Strong computer skills, including MS Office (i.e. Excel, Access, Word) applications, required
- Experience with The Mortgage Office and SalesForce software a plus
- Accounting background a plus
